About the Role: Our client is seeking a Talent Acquisition Operations Specialist to support recruiting, background screening, and onboarding within its Operational IT space. In this role, you will serve as a key point of contact for candidates, new hires, and internal stakeholders, helping ensure a smooth onboarding experience and timely start dates. You will manage critical recruiting operations tasks, resolve onboarding challenges, and support increased hiring volume while maintaining accuracy, confidentiality, and compliance.

Responsibilities:
- Manage recruiting and onboarding workflows for contingent worker conversions, internal placements, and direct hires, including approvals, job postings, offer creation, and pre-employment screening.
- Create accurate offer letters in alignment with compensation guidelines and approval requirements.
- Initiate, track, and manage background checks, supporting background review and adjudication workflows within established guidelines.
- Identify screening exceptions, onboarding delays, and risks to start dates; resolve issues within your scope and escalate when appropriate.
- Create employee IDs and complete other onboarding-related administrative tasks.
- Serve as a primary point of contact for candidates and new hires, providing clear updates and hands-on guidance throughout the hiring and onboarding process.
- Help candidates navigate onboarding systems, troubleshoot basic technology and access issues, and coordinate additional support as needed.
- Coordinate interviews, calendars, logistics, and communications across multiple teams.
- Partner with recruiters, hiring managers, HR, and operations teams to align priorities, timelines, and Day 1 readiness.
- Maintain accurate, up-to-date records in applicant tracking systems and HR platforms to support data integrity and audit readiness.
- Support high-volume workflows while meeting service expectations and protecting sensitive information.
- Contribute to process improvements, standard operating procedures, documentation, and training materials.
Qualifications
Required
- 2–5 years of experience in talent acquisition operations, HR coordination, recruiting operations, or onboarding support.
- Experience managing recruiting or onboarding processes with increasing independence and accountability.
- Experience with applicant tracking systems (ATS) and/or human resources information systems (HRIS).
- Strong candidate-facing and client-facing communication skills, with a professional, service-oriented approach.
- Strong organization, attention to detail, problem-solving, and time-management skills.
- Ability to work independently and collaborate effectively across teams.
- A positive attitude, willingness to take initiative, and hands-on approach to getting work done.
- Ability to handle sensitive and confidential information with discretion.
- Associate’s or bachelor’s degree in Human Resources, Business Administration, or a related field, OR equivalent professional experience.
Preferred
- Background screening or adjudication experience.
- Familiarity with DOT-related onboarding and background screening requirements, particularly for driver-focused assignments.
- Experience using ServiceNow, SAP SuccessFactors, and Microsoft Office, particularly Excel and PowerPoint.
