Fleet Services Specialist - Logistics & Administrative 

We are seeking a detail-oriented Fleet Services Specialist to provide high-level customer service and account support for fleet customers, dealers, sales teams, and internal business partners. This position serves as a primary point of contact for inquiries related to fleet accounts and is responsible for ensuring timely request resolution, accurate account maintenance, and exceptional customer service. The ideal candidate will have experience in customer service, collections, compliance, and remarketing, with the ability to manage complex account requests while minimizing financial and compliance risk.

Location: Charlotte, NC (South Charlotte/Ballantyne area)
Hours/Schedule: Monday-Friday, 8am-5pm
Compensation: $25.00/hour
Opportunity Type: Contract with potential extensions/permanent conversion

Responsibilities

  • Serve as a primary point of contact for fleet customers, dealers, sales teams, and internal partners, responding to account inquiries and service requests via phone, email, mail, and internal case systems.

  • Prepare and process legal documentation related to account modifications, including lease renewals, rewrites, extensions, due date changes, collateral substitutions, and account restructures.

  • Review executed account modification documents for accuracy and completeness and process approved changes within the portfolio management system.

  • Provide account information and complete customer requests related to payoffs, payment histories, amortizations, insurance claims, title and contract copies, powers of attorney, billing updates, and other account maintenance needs.

  • Coordinate title releases, payoff documentation, account dispositions, and other requests with appropriate internal departments, ensuring timely completion and follow-up.

  • Partner with internal teams to address account taxation requirements, obtain necessary tax exemption documentation, and maintain compliance with established policies and procedures.

  • Review unapplied incoming payments, research account details, and determine appropriate posting instructions to support accurate account reconciliation.

  • Manage assigned maturing lease accounts by proactively contacting customers, reviewing lease-end options, and assisting with turn-ins, payoffs, renewals, and rewrites.

  • Monitor outstanding requests and lease maturities through completion, ensuring timely processing and minimizing potential legal, financial, and compliance risk.

  • Maintain accurate account documentation while delivering a high level of customer service and building strong relationships with customers and internal partners.

Qualifications

  • High school diploma required; Bachelor's degree preferred.

  • 3–5 years of overall professional work experience.

  • Minimum of 2 years of customer service experience.

  • Strong written and verbal communication skills with the ability to effectively support customers and internal business partners.

  • Strong attention to detail, organizational skills, and ability to manage multiple complex requests simultaneously.

  • Ability to interpret account documentation, follow established procedures, and maintain accuracy in a fast-paced environment.
