Executive Assistant

Location: full-time, onsite position located in Greensboro, North Carolina.
Compensation: $85,000 - $95,000 with a 5% bonus

This pivotal role plans and executes projects, provides ongoing administrative support with professionalism and discretion, and reports directly to the President. In this role, you will provide high-level administrative, operational, and strategic support, acting as a key “gatekeeper” to manage the President’s time, communications, and priorities while collaborating with the leadership team. You will act as a high-level strategic partner, combining traditional administrative support with business intelligence to boost leadership efficiency. This role operates as a trusted right hand, filtering information, driving operational initiatives, managing complex projects, and aligning daily workflows with long-term company goals.

Core Responsibilities
  • Provide comprehensive executive administrative support for the President, including coordination and organization of detailed calendars, events, and communications with strict confidentiality.
  • Manage the executive’s calendar, prioritize meetings, and coordinate domestic and international travel to maximize efficiency.
  • Interact with all levels of management while demonstrating excellent interpersonal and communication skills (both verbal and written).
  • Organize and prioritize work effectively across multiple tasks in a demanding, fast-paced environment.
  • Manage visits for the President (onsite and offsite), including travel arrangements (international and domestic), agenda planning, presentations, and acting as liaison for all participants.
  • Schedule President’s staff meetings, prepare agendas and materials, and compile meeting minutes.
  • Manage key projects and initiatives as determined by the President.
  • Serve as the primary point of contact for the President, including phone support and visitors, in a professional manner.
  • Track expenses and file expense reports in a timely manner in accordance with company policy; verify incoming invoices and process payments.
  • Support logistics for internal and external meetings as required.
  • Collaborate with other executive administrative assistants on special events and activities.
  • Handle incoming and outgoing mail, including preparing overnight packages.

Education and Experience:
  • Associate degree preferred but not required.
  • Exceptional planning and organizational skills with strong attention to detail and a proactive approach to improving productivity and efficiency.
  • 10+ years of professional administrative experience.
  • 8+ years of significant experience supporting C-suite senior executives.
  • Extensive experience managing complex calendars, meeting coordination, and prioritization of requests and events.
  • Experience working in a fast-paced professional environment requiring sound business judgment, flexibility, and composure under pressure.
  • Proven experience in problem solving, research, and analysis.
  • Strong ambition with the ability to align with team and corporate objectives.
  • Ability to build productive working relationships across all levels of the organization, internally and externally.

  • Ability to travel up to 30% annually, including international travel.
